This page explains our general methodology. Individual calculator pages may use different formulas, units, assumptions, or external guidance depending on the question being calculated.
Our methodology in brief
Our goal is to make each calculator understandable rather than present a result as a black box. We identify the calculation the tool needs to perform, define the required inputs, implement the mathematical relationship, test it with sample values, and explain important assumptions or limitations on the relevant page.
How we select calculator formulas
Some calculators use standard mathematical relationships that do not depend on an outside authority. For example, a productivity percentage can be calculated by comparing a defined amount of productive time with a defined amount of total time. In these cases, the important methodological question is not only the arithmetic, but also how each input is defined.
Other calculators may involve externally defined rules, time conventions, billing concepts, or published guidance. When that happens, we aim to identify the relevant primary source and keep the external rule separate from the calculator’s underlying arithmetic.
We avoid presenting an employer practice, benchmark, estimate, or common convention as though it were a universal requirement.
How we define inputs
A formula is only useful when its inputs mean what the user expects them to mean. Calculator pages therefore aim to identify what each field represents — such as worked time, productive minutes, billable minutes, units, breaks, start time, or an employer-defined productivity target.
When a definition can vary by employer, payer, setting, or organization, we aim to say so. The calculator performs the mathematical operation; it does not determine which workplace or payer definition applies to a particular user.
Units, time conversions & rounding
Calculators may convert between hours, minutes, percentages, clock times, or other units before producing a result. We aim to perform calculations using consistent underlying units and convert the result into a useful display format afterward.
Where rounding, truncation, or another display convention can materially affect the result, the relevant calculator should explain that behavior. Small differences can occur when a displayed value has fewer decimal places than the value used internally by the calculation.
Time-based tools should also be interpreted according to the assumptions stated on the page, particularly when paid and unpaid breaks, documentation time, concurrent activity, or other non-treatment time may be handled differently.
How we choose sources
When external information is necessary, we prefer primary and authoritative sources whenever practical. Depending on the subject, these can include government agencies, official program documentation, regulators, professional organizations, and first-party technical or policy publications.
Secondary sources may be useful for context or for identifying an issue that needs further research, but we aim to verify important rules or requirements against the original source where one is available.
For therapy and billing-related topics, a cited payer or government source supports the specific rule or guidance being discussed; it does not automatically define an employer’s productivity policy.
Source hierarchy
How calculator results are tested
We test calculator behavior with sample values and compare the output with independently worked calculations. Testing can include typical inputs, boundary values, different time combinations, decimal values, and situations that may expose conversion or rounding problems.
For calculators with multiple modes or related outputs, each calculation path should be checked independently. When a calculator is updated, relevant test cases can be repeated to reduce the risk that a change has affected an existing result.
Testing confirms that the implemented math behaves as intended; it does not certify that a particular input or policy definition is correct for every workplace or user.
Assumptions, examples & benchmarks
Worked examples are intended to demonstrate the calculation, not prescribe a target or policy. When an example uses a productivity percentage, shift length, number of units, or other value, that value should be treated as an illustration unless the page clearly identifies an authoritative source for it.
Productivity targets and operational practices can vary by employer, setting, staffing model, scheduling practices, payer mix, documentation requirements, and the way paid time is defined. Users should enter the target or definition that applies to their own organization rather than treating an example as a universal benchmark.
External rules vs. calculator math
We separate mathematical calculations from policy decisions whenever possible. A calculator can determine a percentage, duration, conversion, or estimated time from the values entered. It cannot determine whether a service is billable, whether an employer’s policy is appropriate, whether a payer will reimburse a claim, or whether a legal or professional requirement has been satisfied.
Updates & source review
Information tied to external rules can change. We may review a page when an authoritative source changes, a broken or outdated reference is identified, a user reports a problem, or a calculator’s methodology needs clarification.
Where appropriate, pages may display a “last reviewed” or “last updated” date. That date indicates a review or meaningful content change; it is not a guarantee that every external source will remain unchanged after that date.
Corrections & reproducibility
We want users to be able to reproduce a calculation. If you believe a result is incorrect, please send the calculator name, the values you entered, the result you received, and the result you expected. That information allows us to recreate the calculation and check the formula, implementation, conversions, and displayed output.

The tools do not replace official employer records, payer guidance, contracts, laws, regulations, professional standards, or individualized professional advice.
When a calculation affects billing, employment, legal, medical, financial, or other consequential decisions, users should confirm the applicable requirements with the relevant authoritative source or qualified professional.
